DearFam AI is a small service for families. An adult signs up, and the older people in their family get a link they can tap once a day. That is the whole product. This page explains exactly what we keep, who can see it, and how to get it back or delete it.
We wrote it in plain language on purpose. If anything here is unclear, write to us and we will answer you in writing.
DearFam AI is operated by Shaanxi Hengchang Yaohua Development Co., Ltd., a company registered in Baoji, People's Republic of China ("DearFam AI", "we", "us"). For the purposes of the EU/UK GDPR and similar laws, we are the data controller for the information described below.
| What | Why we have it |
|---|---|
| Your email address | To sign you in (we email you a one-time code — we never store a password) and to send you service messages such as receipts or a failed payment. |
| Names you type in | Your own name and the names and nicknames of the older people in your family. These appear on their screen and in what you send them. |
| Daily check-ins | The date and time an older person taps "I'm okay", and which family member was logged in when a reminder was sent or a call was made. |
| Short notes | Anything you or your family choose to write in the note box, such as "went for a walk" or "slept badly". |
| Phone numbers you add | Only if you add one for reminders. Used to send that reminder and nothing else. |
| Billing details | Handled by our payment processor. We receive a receipt, the last four digits of the card and the billing country. We never see or store a full card number. |
| Basic technical data | IP address, browser type, and the pages you open, kept in server logs for security and to fix faults. |
We do not ask for, and do not want, health records, medical diagnoses, insurance numbers, government ID numbers, or financial account numbers. Please do not type them into a note.
This is a shared family record, by design. Everyone who has joined your family in DearFam AI can see the same thing: whether your parent has checked in today, the notes on their card, and the history of who called or sent a reminder. If you would not want your brother to read it, do not write it in the note box.
People outside your family cannot see any of it. Each family's records are separated from every other family's, and access is enforced at the database level, not just in what the screen chooses to show.
One exception you should know about: our own staff can access records when it is necessary to run the service — for example to investigate a fault you report, or to comply with the law. That access is limited to the few people who need it and is logged.
We use a small number of companies to run DearFam AI. They may only use the data to provide their service to us:
We do not name individual vendors here because they change; we will tell you which category of provider handles what, on request.
Records are held in a managed cloud database. Our providers may store and process data in countries other than the one you live in, including the United States and the European Union. Where data leaves the EEA or the UK, we rely on standard contractual clauses or an equivalent lawful transfer mechanism.
We keep your family's records for as long as the account is open. If you delete your account, we delete the records within 30 days, except where we must keep a record of a payment for tax purposes (typically 6 years, and limited to the invoice, not the notes).
You can, at any time and without giving a reason:
Write to [email protected] and we will act within 30 days. We will not charge you and we will not make you explain yourself.
If you live in California, you also have the right to know the categories of information we collect and to opt out of "sale" or "sharing" as those terms are defined by the CCPA/CPRA. We do not sell or share personal information in that sense, so there is nothing to opt out of — but you may still ask, and we will confirm it in writing. If you live in the EEA or the UK, you have the rights in the GDPR, and you may complain to your local supervisory authority.
DearFam AI is for adults. You must be 18 or older to open an account. The service is not directed at children under 13, and we do not knowingly collect their information. If you believe a child has given us information, write to us and we will delete it.
The older people in your family do not create accounts. They open a link you send them. The information about them is entered by you, and you are responsible for having their agreement to do that.
Traffic is encrypted in transit. Access to the database requires an authenticated session, and every family's data is isolated at the row level. No system is perfect: if a breach ever affects your information, we will tell you and the relevant regulator, in the time the law allows.
If we change this policy in a way that matters, we will email you before the change takes effect and put the new date at the top of this page. Continuing to use DearFam AI after that date means you accept the new version.
